1. As the Commercial Trainee, you will be responsible for performing the following tasks to the highest standards:
2. Carry out any other reasonable duties and responsibilities as assigned.
3. Make department contracts and promotions, track credit agreements and remind the Sales team to follow-up.
4. In charge of all purchasing requests, follow-ups and purchasing records.- Answer office telephone calls and make records.
5. Assist the Director of Sales, Director of Events, Revenue Manager and Marcom Manager to prepare records and reports.
6. Arrange and remind the Commercial Director on work allocations to team members on duty.
7. Attend Sales meetings organized by the Commercial Director and complete the meeting minutes in 24 hours.
8. Deal with Commercial department emails and manage the file system, keeping records.
9. File all monthly reports including attendance records, cash reports, expense reports, etc.
10. In charge of managing department HOE, consumables and regular maintenance.
11. Finish department and hotel reports.- Inform customers promptly about all changes in hotel information.
12. Answer department calls and messages, making sure to pass information to the related people.
13. Make sure all department files are well kept and checked regularly.- Issue communications and information regarding sales.
14. Participate in discussions on sales and activities.
15. Attend departmental briefings and take meeting minutes.
16. Ensure that collateral and promotional materials are on hand at all times.
17. Assist and manage the department’s internal activities.
18. Deal with guests’ and colleagues’ enquiries.- Update and maintain the guest name list.
19. Assist Sales Managers to make and send the group resume and BEO, making sure that the related department receives the information.
20. Make reservation for rooms and events with the reservation system.
21. Assist Sales Managers to take guests on hotel tours.
22. Assist Sales Managers with quotations and contracts, sending them to guests and following up promptly.
23. Be familiar with hotel product knowledge and related activities.
24. Complete the relevant Hilton University courses promptly and pass the tests.
